Privacy Notice — Maxwell Physics Public Website and Enquiries

This Privacy Notice covers:

• the public Maxwell Physics website;
• Early Access enquiries;
• School Pilot enquiries;
• public contact-form enquiries.

This notice does not yet describe every processing activity within the full Maxwell student and teacher platform. Separate school and platform data-processing information will be prepared before wider institutional deployment.

What the public forms collect

Depending on the form:

• name;
• email address;
• country;
• role or audience;
• school or organisation;
• intended use;
• approximate student or teacher ranges;
• preferred pilot timeframe;
• message or additional information;
• submission time;
• limited short-lived technical information required to protect the forms from misuse.

Maxwell does not store raw IP addresses through these public enquiry forms.

Information visitors should not submit

• confidential student records;
• medical information;
• safeguarding disclosures;
• passwords;
• payment-card information;
• unnecessary information about children.

Why information is used

• respond to enquiries;
• assess Early Access or school-pilot interest;
• arrange appropriate follow-up;
• maintain security and prevent misuse;
• retain a limited record of correspondence.

Lawful basis

Enquiry information will normally be processed because it is necessary to respond to a request, to take steps requested before entering an arrangement, and to support Sunbury Education Limited’s legitimate interests in managing genuine enquiries and protecting the website.

Children

• the public forms are not intended to collect enquiries directly from children;
• students under 18 should involve a parent, guardian or teacher;
• visitors should not enter a child’s personal email address or confidential information.

Sharing and service providers

Information may be shared only where necessary with providers supporting website hosting, managed database storage, and security and spam prevention. A transactional email provider is used to deliver enquiry notifications to the Maxwell Physics team, to send enquiry confirmations to the address supplied on a form, and to support delivery-security and bounce handling for those messages. Transactional email is not used for marketing.

International processing

Service providers may process information outside the United Kingdom. Appropriate safeguards will be used where required.

Retention

Enquiry information will normally be retained for up to 12 months after submission. The retention date may be extended where an active relationship continues, where follow-up is still reasonably required, or where information must be retained for legal or regulatory reasons.

Short-lived hashed identifiers used to protect the forms from repeated submissions expire after one hour and are deleted by an automated hourly cleanup process, with a maximum practical retention of approximately two hours.

Rights

Depending on the circumstances, individuals may have rights to:

• access their information;
• correct inaccurate information;
• request deletion;
• restrict processing;
• object to processing;
• receive portable information where applicable;
• complain to the Information Commissioner’s Office.

Security

• form submissions pass through server-side validation;
• direct public reading of enquiries is blocked;
• unnecessary phone, device and browser information is not collected;
• anti-spam identifiers are hashed and short-lived.
